Your file system is a mess. You know it, and now Claude can fix it.
With Claude Cowork's file system access, Claude can read your folder structure, identify duplicates, suggest better naming conventions, and help you clean up years of digital clutter — in an afternoon.
WHAT CLAUDE CAN DO WITH YOUR FILES
- Read folder and file names
- Open and read file contents (docs, PDFs, text files)
- Create new folders
- Rename files (you approve each change)
- Suggest organisational structures
- Identify duplicates by name and content
- Write summaries of document contents
What Claude cannot do: delete files without your confirmation, access system files, or modify files you don't explicitly share.
STEP 1: GIVE CLAUDE ACCESS TO YOUR FILES
In Claude Desktop:
- Open Claude Desktop → Cowork mode
- Click the files icon or drag and drop a folder
- Start with one specific folder (e.g., Downloads or Desktop)
Start small. Don't point Claude at your entire hard drive — it's overwhelming for both you and Claude.
STEP 2: THE MASTER ORGANISER PROMPT
Once you've shared a folder, use this prompt:
"You have access to my [folder name] folder. Please:
- List every file and subfolder you can see
- Identify files that appear to be duplicates or very similar
- Flag anything that looks like it can be archived or deleted
- Suggest a new folder structure that makes sense for this content
- Propose a consistent naming convention for the files
Do not make any changes yet — just show me your analysis and recommendations."
Then review Claude's plan before proceeding.
STEP 3: THE RENAME WORKFLOW
Once you've approved a naming convention, use:
"Based on the naming convention we agreed on, list the new names you'd give each file. Show me: [old name] → [new name]. Wait for my confirmation before making any changes."
Review the list, make adjustments, then confirm.
STEP 4: THE ARCHIVE SWEEP
For clearing out old files:
"Look through this folder and identify:
- Files that haven't been updated in over 2 years
- Files with names like 'draft', 'old', 'v1', 'copy', or 'backup' that appear to be superseded
- Files with no clear purpose (random screenshots, temp files, etc.)
List each file with a brief explanation of why it might be safe to archive. I will decide which ones to actually move."
STEP 5: THE FOLDER RESTRUCTURE
For creating a new organisational system:
"Based on the files we've reviewed, design a folder structure for my [type: work/personal/project] files. The structure should:
- Have no more than 4 levels deep
- Use clear, self-explanatory folder names
- Make it easy to find any file within 10 seconds
- Account for the types of files I actually have
Show me the proposed structure as an indented list before we create anything."
SPECIFIC WORKFLOWS FOR DIFFERENT SITUATIONS
DOWNLOADS FOLDER CLEANUP "My Downloads folder has [X] files accumulated over the past [X] years. Help me:
- Categorise everything by type (images, PDFs, installers, documents, etc.)
- Identify what's definitely safe to delete (duplicate installers, old receipts, etc.)
- Suggest where to move files that should be kept Walk me through it category by category so it's not overwhelming."
PROJECT FOLDER ORGANISATION "I have a project folder for [project name] that's gotten disorganised. Please:
- Map out all the current files and subfolders
- Identify the core deliverables vs. working files vs. admin
- Suggest a structure that separates active work from archived materials
- Propose a consistent file naming format for this project going forward"
PHOTO LIBRARY CLEANUP "I have a folder of photos that need organising. Can you:
- Look at the filenames and identify any date patterns
- Suggest a folder structure based on date (year → month) or event
- Flag any obvious duplicates based on filename (e.g., IMG_1234 and IMG_1234 copy)
- Help me set up an ongoing naming convention for new photos"
NAMING CONVENTION TEMPLATES
Here are naming conventions Claude can help you implement:
Date-first (best for documents): YYYY-MM-DD_description_version.ext Example: 2025-03-15_client-proposal_v2.pdf
Project-first (best for client work): CLIENT_PROJECT_TYPE_YYYYMMDD.ext Example: ACME_WebsiteRedesign_Brief_20250315.pdf
Simple and clean (best for personal files): category-description-date.ext Example: tax-return-2024.pdf
PRO TIPS
Tip 1: Do one folder at a time. Trying to organise everything at once leads to paralysis. Start with Desktop or Downloads.
Tip 2: Create an _Archive folder first. Before deleting anything, move it to _Archive. Then delete after 30 days when you're sure you don't need it.
Tip 3: Agree on the system before implementing. Get Claude to show you the full plan before it moves a single file.
Tip 4: Use Claude for ongoing maintenance. Once a month, ask: "Review my Downloads folder and tell me what needs to be cleared out."
Tip 5: Document your filing system. Ask Claude to write a short README.txt that explains your folder structure and naming convention so future you (and collaborators) understand the system.
