Claude Projects vs ChatGPT Projects: Which Wins for Clients

Who This Is For

You're a freelancer, consultant, or agency owner who's already using AI for client work — but you're bouncing between tools without a clear system, which means you're re-explaining context every session and losing time you can't bill. You've used both Claude and ChatGPT at least a few times, you know they're not the same, but you haven't figured out when to use which one — and that's costing you real productivity.

What You'll Be Able to Do After This Guide

  • Set up a dedicated Claude or ChatGPT Project for a new client in under 10 minutes that actually remembers your context from session to session
  • Match the right AI workspace to each client type so you stop getting generic, off-brand outputs
  • Build a repeatable project setup system that saves you at least 2–3 hours per client per month by eliminating repeated briefing

What "Projects" Actually Means in Each Tool

Most people think Projects are just folders. They're not — they're persistent AI workspaces that carry memory, instructions, and files into every conversation you open inside them.

ChatGPT Projects (available on Plus and higher) let you upload files, set custom instructions for that specific project, and pick up exactly where you left off. Every new chat inside a Project inherits those instructions automatically. Think of it as giving ChatGPT a permanent briefing that lives in the background.

Claude Projects (on Claude.ai Pro and above) work similarly but with one major difference: Claude's Project Knowledge section lets you paste in large documents — brand guidelines, tone-of-voice docs, research reports — and Claude actively references them during every conversation. Claude's context window is bigger (200K tokens on Claude 3.5 Sonnet), which means it can hold more of your client's world in its head at once.

Here's the practical difference. If you paste a 40-page brand guide into a Claude Project, Claude will actually use it mid-conversation without being told. With ChatGPT, you'd typically re-upload or reference the file with a prompt like "Use the brand guide I uploaded" to get it pulling from the right source.

How to Set Up a Client Project That Actually Works

The biggest mistake people make is opening a new AI chat for every task instead of building a project once and reusing it. Here's how to do it right for a new client — let's say a B2B SaaS company called Flowdesk.

In Claude:

  1. Go to claude.ai → click Projects in the left sidebar → New Project
  2. Name it "Flowdesk — Content & Copy"
  3. In Project Knowledge, paste in: the brand voice guide, a sample blog post, their ICP (Ideal Customer Profile) description, and any product one-pagers you have
  4. In the Custom Instructions box, write something like: "You are the content strategist for Flowdesk, a B2B SaaS tool for operations teams. Always write in a confident but conversational tone. Never use jargon like 'synergize' or 'leverage.' Default to short paragraphs and active voice."

In ChatGPT:

  1. Go to chatgpt.com → click Projects in the left rail → New Project
  2. Name it "Flowdesk — Content & Copy"
  3. Upload your brand files directly into the Project
  4. In the Instructions field, add the same briefing as above — plus add: "When I say 'write a LinkedIn post,' always ask me for the core insight first before drafting."

Now every single conversation you open inside either project starts with that context already loaded. No more typing "Just so you know, my client is a B2B SaaS company..." ever again.

Matching the Right Tool to the Right Client Type

This is the part most guides skip entirely — and it's the real unlock.

Claude wins for writing-heavy clients. If your client needs long-form content, detailed reports, nuanced brand voice, or anything that requires holding a lot of context at once — Claude is the better workspace. A ghostwriting client who needs 3,000-word essays that sound exactly like them? Claude. A law firm that needs responses that reference a 60-page policy document? Claude. The prompt "Write this in the voice of the sample articles in Project Knowledge" will produce noticeably better results in Claude than ChatGPT for this type of work.

ChatGPT wins for action-oriented, tool-heavy clients. If your client workflow involves running code, generating images, browsing the web for current data, or using custom GPTs — ChatGPT Projects is the better home base. A marketing client who needs weekly competitor research pulled from live sources? ChatGPT with browsing enabled. An ecommerce client who needs product descriptions generated alongside DALL-E mockups? ChatGPT every time.

For most content and strategy clients, run both in parallel. This sounds like extra work, but it's not — it's a 10-minute setup. Keep the Claude Project as your "thinking and writing" workspace, and a ChatGPT Project as your "research and execution" workspace. A real example: for a newsletter client, use Claude to draft the issue inside the Project (it holds their archive of past issues as reference), then switch to ChatGPT to generate subject line variations using its web browsing to check what's performing in their niche right now.

The rule of thumb: Claude = depth, ChatGPT = breadth. Claude goes deeper into context you've given it. ChatGPT reaches wider into the world outside your conversation.

Common Mistakes (and How to Fix Them)

  • Mistake: Writing vague custom instructions like "Write professionally and be helpful" → Fix: Write instructions like a real brief — include tone adjectives, banned words, target audience, and a default format. Example: "Always write for a mid-level operations manager who's skeptical of AI hype. Use bullet points for any list over 3 items. Never start a sentence with 'I'."
  • Mistake: Uploading every file you have into Project Knowledge and wondering why outputs feel unfocused → Fix: Only upload documents that define how Claude should write or what it should know permanently. Keep session-specific files (this week's draft, today's brief) in the chat itself, not in the Knowledge base.
  • Mistake: Using one giant "All Clients" project instead of separate projects per client → Fix: Each client gets their own project — full stop. Mixing client context is how you accidentally write in Client A's voice for Client B's deliverable. One project, one client, every time.

Your Next Steps

  1. Right now (5 minutes): Pick one active client and open a new Project in whichever tool you used last. Paste in their brand voice or a sample of their best content, and write three custom instructions based on your real experience working with them.
  2. This week: Audit every client you're currently working with and assign them to either Claude or ChatGPT using the depth vs. breadth rule above. Migrate any important reference docs into the right Project Knowledge section.
  3. 30-day goal: By the end of the month, you should have a Project set up for every active client, a personal template for your custom instructions (so new clients take 5 minutes to onboard instead of 30), and a clear sense of which tool is actually saving you more time — so you can double down on it.
